This Privacy Notice refers to a positive recruitment campaign where we are promoting potential roles within the fire service.
The categories of the information that we collect, process, hold and share include:

Name and email address, which will form part of an online mailing list, and diversity data for monitoring purposes only.  

Why we collect and use this information

If you are interested in working for us, we would like to keep in contact with you so that we can give you tips on how to prepare for future roles and also advise you when these roles are advertised. We may also inform you of potential roles within our partner agencies, such as the Police and neighbouring Fire & Rescue Services.

The diversity monitoring form is voluntary and this information won’t affect any future job applications, as this is to help us monitor how we are representing the communities we serve.

The lawful basis on which we use this information

Avon Fire Authority (operationally known as Avon Fire & Rescue Service ‘AF&RS’) is the ‘Data Controller’ for the information collected on the ‘Yes you can’ website. We collect and process the information that your provide via this website with your consent.  We also have a legitimate interest to ensure that we attract the best candidates when we advertise future job vacancies. 

Diversity information falls under the ‘Special Categories’ of personal data within the data protection legislation, which is afforded extra controls when collecting and using this data.  Our lawful reason for collecting such data is with your explicit consent. 

Collecting this information

The information placed on the mailing list will allow us to offer you tips for how to prepare yourself for a role and promote future opportunities. 

If you are using someone else’s email address for communications, please ensure that you have their permission and they are aware of this Privacy Notice.

Email and marketing service

The email and marketing service that we use to collect your information is provided by an external organisation called Mailchimp, who are an American company operated by The Rocket Science Group LLC.  You are known as the ‘subscriber’ or ‘contact’ and Avon Fire Authority (AFA) is the ‘Member’.  We have an Agreement with Mailchimp to provide us with this service and as such, Mailchimp are considered a ‘Data Processor’ who act on our behalf to process your details.  Mailchimp therefore have access to email addresses and any other information entered on the subscription form, which will be stored on their servers in the USA, and is subject to their extensive security controls. MailChimp complies with the EU-U.S. Privacy Shield Framework, will not use your details for advertising purposes and will not share or sell this information to external organisations. Mailchimp Cookies

Mailchimp use website cookies to enable the functionality of their website and to provide reporting information, which includes collecting information about the device and applications you use to access emails sent through their services, such as your IP address, your operating system, your browser ID, and other information about your system and connection.  They collect usage data about you whenever you interact with emails sent through their services, which may include dates and times you access these emails and your browsing activities (such as what pages are viewed). They collect information regarding the performance of these services, including metrics related to the deliverability of emails and other electronic communications that AFA send through these services. On occasions they may also collect publicly available social media information about you to  understand the type of people who engage in our campaign. This information allows Mailchimp to improve the content and operation of their services and facilitate research and analysis. Storing this information 

We will retain your details and continue to send you communications until we close our campaign or you unsubscribe from the mailing list.   Any personal information held on the website will be deleted by Mailchimp as per our instructions.

Who we share this information with and why

Other than Mailchimp, we will not disclose your information to a third party without your permission, unless we are required to do so by law.

Your rights

You have a right to access and obtain a copy of the personal data that we hold about you and to ask us to correct your personal data if there are any errors, or it is out of date or incomplete.  You can unsubscribe from the service at any time.
